1. About this policy

This Privacy Policy applies to the Regovix global platform at regovix.com, and to the applications it links to: IncidentLoop, FleetCheck, InductGuard, AuditMate, ChemVault, CompliBase, BarrierWatch, and EvidenceIQ. Each application requires its own account and sign-in.

Workplace compliance data

Depending on which Regovix applications your organisation uses, we may process incident reports, audit findings, chemical register entries, fleet inspection records, licence and induction records, and bow-tie/ICAM investigation records — including any personal information your organisation chooses to enter into those records (such as a worker's name against a training record).

Anthropic states it does not train its models on API data by default under standard API terms. We recommend avoiding entering sensitive personal information into any AI-assisted input field unless it's necessary for the task.

We may also disclose personal information if required by law, or in connection with a genuine business transfer such as a merger or acquisition — in which case affected customers will be notified.

5. International data transfers

Because our infrastructure providers are based in the United States, using Regovix means your data may be processed there. If you are located somewhere with specific rules about international data transfers (such as the EU under GDPR), please contact us before using the platform for data subject to those rules, so we can confirm an appropriate safeguard is in place.

Active account data is retained for the duration of your subscription or access period plus 30 days. Compliance records may need to be retained longer where your own regulatory obligations require it — that retention period is your organisation's responsibility to configure and manage.
